Ask the Planner: What Does a Wedding Planner Really Do Behind the Scenes?

Ask the Planner

Because the most seamless celebrations are anything but effortless behind the scenes.

Q: What does a wedding planner actually do on a wedding weekend?

“In short — everything you don’t see.”

Behind every elegant table setting, perfectly timed entrance and candlelit dinner lies months of preparation and precision. On the day or from the start of the weekend in the case of multi-day weddings and events, our team are the first to arrive and the last to leave, managing suppliers, timelines and transitions so the experience feels completely fluid.

We’re the quiet conductors of the entire orchestra, ensuring the chefs are ready, the photographer’s in position, the band’s tuned up, and the bride’s dress is steamed. Everything happens because someone’s thought ten steps ahead.

Q: What happens before the day itself?

We’re creating structure long before the first glass of champagne is poured. From sourcing venues and designing the aesthetic, to budget management, supplier curation, and contingency planning, it’s a detailed, strategic process.

Our approach combines creativity and logistics in equal measure. As founder of Pocketful of Dreams, Michelle says:

“Our clients hire us for beauty, but what they fall in love with is the calm.”

Q: So you’re not just about design?

Design is a huge part of what we do, but it’s only one facet. True luxury lies in flow and feeling, how each moment connects to the next and the feeling everyone is left with. We choreograph the guest experience so it feels effortless: every transition, every atmosphere, every sensory detail.

We work with leading suppliers across catering, floristry, production, and entertainment, ensuring each one aligns to the same creative vision.

“Good design should feel invisible. When an event runs smoothly, people don’t notice the logistics, they just feel the magic.”

Q: How do you handle challenges when things go wrong?

The truth? Something always will, but our job is to ensure no one ever notices.

We build multiple layers of contingency into every plan. That might mean alternative layouts for bad weather, power redundancy for marquee builds, or transport back-ups for large-scale private estate weddings.

“A planner’s real superpower is quiet problem-solving. We see challenges before they appear, and solve them before you ever have to.”

Q: Why is having a planner so valuable for multi-day or destination weddings?

Because multi-day events are like producing three or four events in one, with overlapping suppliers, logistics, and guest experiences.

We manage everything from detailed marquee build-outs to guest concierge and accommodation blocks to supplier schedules across multiple venues. It’s orchestration at its most intricate, and that’s where experience truly counts.

“Our clients get to focus on being hosts, not project managers. That’s the real luxury: being able to actually enjoy what you’ve created.”

Q: How should couples feel when working with the right planner?

Supported. Understood. Seen.

You should feel confident enough to let go, knowing that someone is protecting your vision, anticipating every detail, and holding the whole thing together with calm precision.

“The best events appear effortless, but they only do because someone’s quietly obsessing over every tiny detail behind the scenes.”

At the heart of it, a wedding planner’s role is to create calm within the chaos, to translate your vision into reality while keeping every plate spinning behind the scenes. It’s equal parts artistry, orchestration, creativity and control. For us, it’s never just about producing an event; it’s about crafting a feeling that lingers long after the last candle fades.
